01
What does this hire really come down to?
Who approves the adjustment between property accounting and development accounting? You need someone who tracks rent rolls or manages construction draw requests. Split workflows often require separate skill sets.
Your concrete work involves moving data from project management or leasing software into your financial system. They must track job costs against budgets or verify that rent receipts match lease terms. If they cannot identify a variance in a construction draw request or a rent roll discrepancy, the financial statements will fail your internal audit requirements.
We ask candidates these questions to test them. How do you handle a mismatch between a tenant payment and a lease schedule? Can you explain the difference between a hard cost and a soft cost on a construction draw? What is your process for verifying that a security deposit entry matches the lease terms in Yardi or MRI?
Define the exact reporting frequency your books require. Determine if the role focuses on tenant ledger cleanup or construction budget tracking. Ask candidates to describe their workflow for a month-end close. Look for use of reconciliation tools within Yardi or Sage Intacct. If they rely on manual spreadsheets outside the system, transaction volume may suffer. Test their logic by presenting a redacted construction draw with a clear over-budget line item. Observe if they flag the variance or ask for approval to pay. A candidate knows that a payment against a budget line requires a change order or a reclassification. You want someone who requires valid lien waivers and signed inspector reports before processing a draw. Ask how they prioritize payments when project cash flow is tight.

What do we check before you see anyone?
First, we verify their software proficiency within real estate platforms. Knowing QuickBooks is not enough if they cannot manage a property management ledger. Second, we confirm their experience with lease administration or job cost coding. Third, we test their ability to distinguish between operating expenses and capital improvements.
Fourth, we review their history of volume. Have they managed books for five properties or fifty? Fifth, we assess their accuracy in processing accounts payable related to construction vendors versus residential tenants. Finally, we confirm their familiarity with the specific reporting requirements of REITs or institutional owners.
Before presenting candidates, we evaluate whether they understand the distinction between entity level accounting and project level accounting. Many bookkeepers conflate these two areas, which creates significant data errors when your firm reports to institutional partners or debt providers. We assess whether a candidate knows how to prepare a construction project budget versus how to generate an owner report for a stabilized asset. We look for a clear understanding of cash basis versus accrual basis reporting in the context of real estate specific requirements. Candidates must demonstrate they know how to handle the nuances of capital versus operating expenditures, particularly when project costs move from work in progress to a fixed asset status. We verify their process for clearing suspense accounts and their logic for allocating shared expenses across a diversified portfolio. We also check if they can reconcile intercompany balances between an owner entity and a construction entity to keep your audit trails clean.
03
Where do we find them?
We recruit from property management firms, construction companies, and small-scale developer offices. We look for individuals who are stagnant in their current role because their firm uses dated or manual processes. People move when they want to learn modern ERP systems or move from retail property accounting into multifamily development. We also target those currently working for third-party management firms who want to move in-house to a developer to gain long-term project exposure.
04
Which hiring mistakes should you watch for?
- 01Hiring a generalist bookkeeper who lacks the specific terminology for construction draws or property management reconciliations.
- 02Focusing too much on years of experience rather than the specific software proficiency required for your existing property portfolio.
- 03Failing to define the role responsibilities between project-level development accounting and asset-level property accounting leading to burnout.
05
The search in three steps
- 01Define the portfolio mix to confirm if you need property or development accounting expertise.
- 02Screen candidates against your specific ERP and reporting software requirements.
- 03Interview finalists using your unique monthly close and draw cycle data sets.

Questions people ask
Is a fee required before you find someone to reconcile my property rent rolls?
No upfront fee. You pay only if you hire.
What is the difference between property and development accounting?
Property accounting focuses on recurring cycles like rent rolls and CAM reconciliations. Development accounting tracks project costs, construction draws, and capital interest until the project is placed in service.
Can you provide a candidate who knows Yardi?
We filter for specific industry software like Yardi, MRI, and Sage Intacct during our initial screening. We prioritize candidates with the version of the software that matches your specific implementation.
How do I know if they are a good fit for my firm?
We present candidates who have managed similar asset classes or portfolio sizes. You should focus on their ability to handle your specific reporting cycles and volume of transactions.
Do you offer contract-to-hire options?
We offer defined contract, temp-to-perm, and busy-season support on request. All terms and conditions are agreed upon per engagement.
When will we meet candidates?
Timing depends on the requirements, location and pay. We discuss the likely obstacles after learning about the job and keep you informed as the search progresses.

We discuss why candidates want to move and what might make them stay. If a counteroffer comes up, we help both sides work through the decision without making promises for either party.
