01
What does this hire really come down to?
This role centers on process discipline. You need a person who builds logic into your AP workflow to stop unauthorized spending before it happens. How do you define approval chains and enforce vendor master data integrity without creating bottlenecks?
Expect this hire to handle invoice processing and system integration. You need someone who maps data between your ERP and your automation tools. They spend their day resolving matching exceptions and identifying why payments remain stuck. Ask them how they handled a major reconciliation discrepancy and what specific steps they took to fix it.
We prioritize candidates who treat your cash as their own. They must be comfortable navigating tax compliance issues like 1099 reporting and state-level nexus requirements. Can they explain how they managed vendor disputes during a system migration? We look for evidence that they prioritize clean data over just clearing a backlog.
Define the scope before we interview. Does this person manage the entire procure-to-pay lifecycle or just invoice processing? Ask for examples of when they overrode system automation to fix a compliance issue. Listen for their thought process on vendor data cleanup. Do not accept general answers about policy. Force them to detail how they handled a situation where the three-way match failed due to missing documents. Ask how they prioritize payments when cash flow is tight. Do they suggest terms extensions or prioritize key supplier relationships? If they managed a system migration, ask what happened when data mapping failed during testing. How did they reconcile the discrepancies? You want someone who understands internal controls and the risks of manual workarounds. Avoid candidates who rely on their team to fix errors. The right person takes personal responsibility for general ledger accuracy and the vendor master file. If they cannot explain the difference between a PO discrepancy and a coding error, they are not ready to own your payables strategy.
02
What do we check before you see anyone?
First, we verify their experience with AP automation software such as Bill.com, Coupa, AvidXchange, or Tipalti to confirm their troubleshooting skills. Second, we confirm their work with vendor master controls to check their prevention of duplicate payments. Third, we check their work with 1099 compliance and tax filings. Fourth, we test their knowledge of the three-way match process to confirm they link purchase orders, receipts, and invoices. Fifth, we confirm they have managed the ERP systems you currently use. Sixth, we verify their history of managing audit documentation to check their records for reviewers.
Before you meet a candidate, we hold a scope conversation to pinpoint if your priority is cleaning up existing historical data or building a new workflow from scratch. We require evidence that they have corrected a specific failure in a three-way match, such as how they identified a missing receipt that caused a payment hold. We press them on the trade-off between strict adherence to procurement policy and the practical need to pay suppliers during an urgent cash flow shortage. We ask how they decided which vendor invoices to prioritize when approval systems broke during a migration. If they cannot explain the impact of their decisions on the general ledger and account reconciliation, they do not move to your interview stage. We want proof they can act on their own when the software creates an error.
03
Where do we find them?
We source from candidates currently in shared services centers, high-growth mid-market firms, or organizations transitioning from manual to automated payables systems. We look for individuals who are hitting a wall where their current software stack limits their ability to improve processing speed. They often move when their current firm centralizes back-office functions and they no longer have the autonomy to solve operational issues. We also track professionals who recently completed a system implementation and are now seeking a new environment to repeat that work.
04
Which hiring mistakes should you watch for?
- 01Hiring someone with only data entry experience who lacks the strategic background to manage vendor relationships or resolve complex matching errors.
- 02Prioritizing industry sector overlap over functional expertise in managing invoice workflows and bank reconciliation.
- 03Overlooking candidates who have managed complex multi-entity structures in favor of candidates from simple single-entity environments.
05
The search in three steps
- 01We map the current market for P2P managers with direct experience in your specific ERP and automation software.
- 02We interview candidates to confirm their technical ability to handle invoice volume, matching, and payment controls.
- 03We present selected profiles for your review and manage the interview process from initial screens to final offer.
How your Procure-to-Pay Manager search runs
How does The Six-Step Search work?
One sequence, from a well-defined seat to a shortlist you can judge.
Search Calibration
We start with a call about the seat, the books, the owners and the people the hire will work with. We learn what the role must fix in the first year and what would make a candidate wrong even if the resume looks right.
You get: A written search brief: scope, must-haves, deal-breakers and the pay range, agreed with you.
Market Mapping
We map the companies and institutions where the right people already work: similar size, similar ownership, similar complexity, in your market and in others.
You get: The target list of companies and institutions we will search, reviewed with you before outreach.
Professional Contact Intelligence
We find direct ways to reach the people on the map. Most are employed and not reading job boards, so reaching them takes real research.
You get: Direct routes to people who are not on job boards, researched for your search.
Persistent Personalized Outreach
We call and write to people individually and follow up. Interest varies, so we discuss the actual opportunity rather than promising a particular response.
You get: One-to-one conversations about your actual role, followed up, never a mass email blast.
Live Candidate Qualification
We speak with every candidate before you do. We check scope, systems, reporting lines, compensation expectations, location and why they would move.
You get: Only candidates we have spoken with, checked on scope, systems, pay, location and motive.
Candidate Intelligence and Process Support
You receive a short written brief on each finalist covering what they have done, where they are thin and what they want. Then we help with interviews, references and the offer.
You get: A short written brief on each finalist, plus help with interviews, references, counteroffer risk and the offer.
Questions people ask
Do I pay upfront for a search for a manager who enforces approval chains?
No upfront fee. You pay only if you hire.
How do you verify if they can actually use the software?
We ask candidates to describe specific workflows they built within platforms like Coupa or AvidXchange. We also check if they managed the configuration or integration process versus simply acting as a user.
Are these candidates looking for remote or office work?
We screen for both and specify the preference in each profile. We match their required location or work style to your current company policy.
How does a manager role differ from a supervisor level?
A manager typically owns the strategy, vendor contract terms, and system configuration. A supervisor focuses on daily staff management and clearing high-volume processing queues.
What is the fee for a Procure-to-Pay Manager search?
No upfront fee. You pay only if you hire. The fee and terms are agreed in writing before we start.
How soon will I see a Procure-to-Pay Manager shortlist?
It depends on the seat, the location and the pay. We give you an honest read after the calibration call and we do not promise dates we cannot control.
What about counteroffers on a Procure-to-Pay Manager hire?
We ask every Procure-to-Pay Manager candidate early why they would move and what their employer might do to keep them. Counteroffer risk goes in the written brief before you make an offer.
What is your guarantee?
We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.
What don't you do?
We do not post your Procure-to-Pay Manager job and forward whoever applies. We do not send stacks of unscreened resumes, and we do not recruit outside accounting, finance, banking and insurance.
