What does this hire really come down to?
You need someone who finds missing transactions quickly. This person clears ledger clutter so you close books on time. They must have the patience to dig through raw data while maintaining total accuracy.
They spend their day matching debits and credits across multiple merchant accounts or bank feeds. They verify that every transaction has a corresponding receipt or invoice. They do not just enter data but investigate discrepancies between your bank statement and your system.
Ask them how they investigate a variance that does not resolve after the first pass. Ask them to explain the difference between a clearing account and a suspense account. Ask them what specific steps they take when they find duplicate entries in a reconciliation.
You need to define the scope of this reconciliation work before we start looking. We need to know if this person is expected to build the workflow from scratch or follow a rigid existing process. Ask if they prefer a standardized checklist or if they need the freedom to create their own tracking systems. If they only follow instructions, they might struggle with complex merchant statement variances. Ask them to describe their process for handling a month where bank feeds failed to import correctly for three days. You want an answer that includes checking the API connection, reviewing the raw export from the banking portal, and tracing the entries back to the primary source documents before touching the general ledger. Listen for mentions of specific transaction codes that cause repeated issues in your current system. If they cannot explain why a specific merchant account creates duplicate transaction lines, they will not handle your volume. Ask them to walk you through the last time they found an error that had been sitting in the ledger for months. A good candidate will describe a process of elimination that involves cross-referencing subledgers against the bank statements until the variance is isolated to a specific period or vendor. If they rely on guesswork or clearing accounts without proper documentation, they are a risk. We need to verify they know how to properly adjust for bank fees versus processing errors. If they treat all discrepancies as simple timing differences, they are missing the point of this role. Ask them to demonstrate how they handle partial payments or split transactions. You must determine if they are comfortable working in a high-pressure environment where the books must be closed on a strict calendar. If they have never managed a volume of over five hundred transactions per week, they will likely fall behind. We check for these technical habits because an organized approach at the start saves days of clean-up later.
02
What do we check before you see anyone?
We verify technical proficiency and data hygiene before presenting a candidate.
- 01We confirm they use XLOOKUP or index-match functions in Excel to compare disparate data sets.
- 02We test for familiarity with specific software like QuickBooks Online or Sage Intacct for transaction matching.
- 03We verify they can handle high volume reconciliations without relying on manual entry methods.
- 04We check their ability to work within specific chart of accounts structures you already have in place.
- 05We audit their approach to identifying and flagging recurring errors in bank feeds.
- 06Confirm their understanding of strict segregation of duties between accounts payable and account reconciliation.
03
Where do we find them?
We look for candidates currently working in high volume bookkeeping environments or those at firms performing outsourced accounting for many clients. These candidates move when they seek a dedicated environment with fewer concurrent accounts to manage. They also leave when they finish a specific project implementation or when they outgrow the manual work at their current firm.
04
Which hiring mistakes should you watch for?
Avoid these common hiring pitfalls to maintain your accounting integrity.
- 01Hiring a generalist who lacks the intense focus needed for high volume reconciliation tasks.
- 02Ignoring a candidate who cannot explain their methodology for resolving unreconciled items.
- 03Selecting someone who relies on trial and error instead of a systematic check of subledgers.
05
The search in three steps
This is how we find your candidate.
- 01Define the exact volume of bank feeds and transaction types requiring daily or weekly reconciliation.
- 02Screen candidates using real data scenarios to judge their speed and accuracy in software.
- 03Conduct a final technical interview where you review a sample reconciliation they have prepared.
How your Account Reconciliation Specialist search runs
How does The Six-Step Search work?
One sequence, from a well-defined seat to a shortlist you can judge.
Search Calibration
We start with a call about the seat, the books, the owners and the people the hire will work with. We learn what the role must fix in the first year and what would make a candidate wrong even if the resume looks right.
You get: A written search brief: scope, must-haves, deal-breakers and the pay range, agreed with you.
Market Mapping
We map the companies and institutions where the right people already work: similar size, similar ownership, similar complexity, in your market and in others.
You get: The target list of companies and institutions we will search, reviewed with you before outreach.
Professional Contact Intelligence
We find direct ways to reach the people on the map. Most are employed and not reading job boards, so reaching them takes real research.
You get: Direct routes to people who are not on job boards, researched for your search.
Persistent Personalized Outreach
We call and write to people individually and follow up. Interest varies, so we discuss the actual opportunity rather than promising a particular response.
You get: One-to-one conversations about your actual role, followed up, never a mass email blast.
Live Candidate Qualification
We speak with every candidate before you do. We check scope, systems, reporting lines, compensation expectations, location and why they would move.
You get: Only candidates we have spoken with, checked on scope, systems, pay, location and motive.
Candidate Intelligence and Process Support
You receive a short written brief on each finalist covering what they have done, where they are thin and what they want. Then we help with interviews, references and the offer.
You get: A short written brief on each finalist, plus help with interviews, references, counteroffer risk and the offer.
