01
What does this hire really come down to?
Who manages vendor masters and cash receipts? You need someone who prioritizes data accuracy over speed when setting up vendor masters or applying cash receipts. Who manages the daily procure-to-pay mechanics?
We evaluate candidates on their ability to handle exceptions in high-volume environments. Ask them about a specific time a billing cycle or payroll run failed and what manual steps they took to reconcile the records. Do they rely on software logs or do they manually trace every entry in the general ledger.
We ask how they manage the trade-off between vendor payment terms and available cash. If they favor paying early for discounts, do they have the actual cash forecast to support that decision. We also ask what specific controls they enforce to prevent fraud during the vendor onboarding process.
Focus the scope conversation on how this hire handles audit failures. Ask them to describe a recent audit request that took more than a day to fulfill. Probe for the root cause of that delay. Did they lack access to the specific source document, or was the digital file incorrectly indexed in the accounting system? A candidate who blames the software for an unorganized vendor master file is a liability. You need someone who takes ownership of the database structure. Challenge them to explain their process for validating a vendor identity before inputting them into the system. If they rely solely on a phone call or an email confirmation, they are exposing your cash to fraud. Ask for their method of matching recurring payment schedules against actual budget variance reports. A candidate who assumes the budget is correct without verifying the underlying transaction flow is failing at the core responsibility of this role. Require them to show how they translate a technical accounting standard into a set of internal control checklists for their direct reports. Listen for whether they create meaningful compliance documentation or if they simply produce generic templates. If they cannot describe the exact chain of custody for a check run or a bank reconciliation, they do not possess the rigor required. You must distinguish between those who understand the theory of accounting and those who perform the day to day enforcement of its rules. Seek evidence of direct ownership for reconciliation error resolution rather than passive oversight of subordinates.
02
What do we check before you see anyone?
We check that the candidate manages the full cycle of discrepancy resolution and internal control implementation.
We require evidence of how the candidate reconciles sub-ledger data against the general ledger to verify financial accuracy. We require they explain how they handle a recurring payroll variance that appears across multiple pay cycles. You need to know if they treat this as a simple adjustment or if they dig into the underlying bank file and payroll provider logs to stop the root issue. We also probe the trade-off they make between implementing a new control and maintaining existing speed for your team. Prioritize candidates who improve throughput and reduce error frequency through lean process design.
- 01Automated AP tool proficiency (e.g., Bill.com, Coupa, AvidXchange) to verify they do not need manual entry training.
- 02Direct experience with multi-state tax compliance and payroll filing requirements using platforms like ADP, UKG, or Workday.
- 03Demonstrated history of active DSO reduction through specific collections strategy rather than just monitoring aging reports.
- 04Knowledge of B2B credit risk scoring and the legal processes involved in UCC filings or liens.
- 05Previous management of 1099 compliance and vendor master file audit procedures.
- 06Understanding of the specific accounting standard requirements for revenue recognition in your industry vertical.
03
Where do we find them?
We look for candidates in high-volume shared services environments, large CPA firm administrative back-offices, and regional corporate accounting hubs. A person moves when their current firm stops investing in automation and they are forced to spend time on manual data entry. They also move if their current role lacks clear control over the full lifecycle of a transaction, such as being stuck in only AP or only AR silos.
04
Which hiring mistakes should you watch for?
- 01Hiring a manager who creates complex spreadsheet workarounds instead of correcting the underlying software configuration.
- 02Prioritizing payroll certification without confirming the candidate has experience managing actual tax notice resolution with state agencies.
- 03Failing to vet whether the candidate has managed the full lifecycle of a lien filing versus just requesting an attorney to handle the process.
05
The search in three steps
- 01We filter the active population against your specific tech stack and transaction volume requirements.
- 02We interview candidates to confirm their operational decision-making style and technical knowledge of the tools.
- 03We present the qualified list for your review with no upfront fee, as payment is due only upon hire.

How does The Six-Step Search work?
One sequence, from a well-defined seat to a shortlist you can judge.

Market Mapping
We map the companies and institutions where the right people already work: similar size, similar ownership, similar complexity, in your market and in others.
You get: The target list of companies and institutions we will search, reviewed with you before outreach.
Professional Contact Intelligence
