01
What does this hire really come down to?
Who approves the adjustment when trade settlement fails custodian validation? You need someone who catches reconciliation errors before they affect client reports. They must handle daily trade settlement, asset pricing verification, and custodian platform reporting without constant oversight.
Your new hire will spend their day cleaning up account data and updating performance metrics. They handle the mechanics of money movement and documentation. If they cannot maintain orderly records in the CRM or portfolio management system, your advisors will waste time fixing mistakes during client meetings.
Ask them these items. Describe a time you found a difference in a daily reconciliation report and how you fixed it. How do you handle a trade rejection or failed transfer? Explain your process for keeping standing instructions correct across custodian platforms.
02
What do we check before you see anyone?
We verify technical proficiency in current portfolio management software. Candidates must demonstrate actual usage of systems for performance reporting. We confirm their ability to map custodial data feeds into internal systems correctly.
We test for regulatory awareness regarding trade settlement rules. They must understand the difference between trade date and settlement date protocols. We check their experience with account opening requirements and money movement constraints.
We assess their ability to track recurring tasks like RMDs or rebalancing triggers. They must prove they use digital checklists to prevent items from falling through cracks. We verify their familiarity with security pricing sources used for valuation.
We review their history of interaction with back-office operations teams. They must explain how they resolve custodial service tickets or platform outages. We confirm they know how to document changes in client account status for audit purposes.
We examine their process for handling incoming client paperwork and transfers. They need to show they can identify missing information before submitting documents to a custodian. We verify their competence in using CRMs like Salesforce, Redtail, or Wealthbox.
We check their understanding of data privacy rules when transmitting client financial information. They must demonstrate secure file sharing practices and awareness of internal compliance policies regarding trade execution and account access.
Before you review any candidate, we conduct a specific scope conversation to map your internal data handling against their actual previous environment. We ask them to describe the specific asset classes they reconciled and the frequency of price updates they managed. You need to decide if you want a process person who executes defined tasks or an investigative person who identifies root causes for reconciliation breaks. We demand evidence of how they handled a specific mismatch between custodial data and internal accounting software. If a candidate cannot clearly explain the logic behind a failed trade or a rejected money movement request in their previous role, they will not succeed in your firm. This conversation forces a tradeoff between hiring someone who just follows instructions and someone who creates better internal records.
03
Where do we find them?
We look within independent RIA firms, broker-dealer back offices, and bank trust departments. We seek candidates who are currently stuck in high-volume, repetitive roles that lack decision rights. They move when they desire a seat where they can own the data workflow end-to-end.
Candidates from large-scale service centers often seek environments with tighter feedback loops. Those currently in boutique firms might move if they want access to different portfolio management software or better institutional workflows. We also target those completing the CFP or Series 7/66 credentials who want to apply their knowledge to operations.
We filter for those who have spent at least two years maintaining investment accounts. We prioritize those who understand the lifecycle of a trade from entry to final reporting. Candidates are generally open to moving when they feel their current firm has stopped investing in better operational tooling.
04
Which hiring mistakes should you watch for?
- 01Hire a generalist who can quickly process basic trades and manage account activities on stock plan administrator platforms with proficiency.
- 02Prioritizing client-facing soft skills over technical reconciliation accuracy, which leaves the advisor managing the back office instead of meeting clients.
- 03Ignoring the candidate's history with specific planning software or CRM integrations, resulting in a disconnected workflow between the front and back office.
05
The search in three steps
- 01Reviewing the talent pool against your specific tech stack requirements to filter for those who know your systems.
- 02Conducting targeted screening interviews that focus on daily operational tasks rather than hypothetical performance scenarios.
- 03Presenting a shortlist of qualified individuals who can immediately step into your current workflow without needing remedial software training.
How your Portfolio Administrator search runs
How does The Six-Step Search work?
One sequence, from a well-defined seat to a shortlist you can judge.
Search Calibration
We start with a call about the seat, the books, the owners and the people the hire will work with. We learn what the role must fix in the first year and what would make a candidate wrong even if the resume looks right.
You get: A written search brief: scope, must-haves, deal-breakers and the pay range, agreed with you.
Market Mapping
We map the companies and institutions where the right people already work: similar size, similar ownership, similar complexity, in your market and in others.
You get: The target list of companies and institutions we will search, reviewed with you before outreach.
Professional Contact Intelligence
We find direct ways to reach the people on the map. Most are employed and not reading job boards, so reaching them takes real research.
You get: Direct routes to people who are not on job boards, researched for your search.
Persistent Personalized Outreach
We call and write to people individually and follow up. Interest varies, so we discuss the actual opportunity rather than promising a particular response.
You get: One-to-one conversations about your actual role, followed up, never a mass email blast.
Live Candidate Qualification
We speak with every candidate before you do. We check scope, systems, reporting lines, compensation expectations, location and why they would move.
You get: Only candidates we have spoken with, checked on scope, systems, pay, location and motive.
Candidate Intelligence and Process Support
You receive a short written brief on each finalist covering what they have done, where they are thin and what they want. Then we help with interviews, references and the offer.
You get: A short written brief on each finalist, plus help with interviews, references, counteroffer risk and the offer.
