01
What does this hire really come down to?
This person must reconcile rent rolls against cash deposits daily. They translate site-level cash collections into entries for the corporate general ledger. Who identifies discrepancies in CAM reconciliations and lease charge errors before final owner statements are issued?
They spend their time scrubbing the ledger for bad debt, verifying security deposit disposition, and mapping tenant charges to the correct GL codes. You need to know how they manage the month-end close for a portfolio of assets. Ask them to walk you through their exact workflow for preparing a balance sheet for a property with a high turnover rate.
Ask how they verify lease amendments in the software compared to the signed documents. Ask them to explain a specific time they caught an error in a CAM calculation or utility bill back. We are looking for people who can explain the mechanical logic of a rent roll, not just report numbers.
You need to drill down into the scope of the reconciliation process during your interviews to avoid hiring someone who only knows basic bookkeeping. Ask the candidate to describe their specific process for handling a month-end close when a property has high resident turnover. Watch for whether they talk about the mechanics of the ledger or if they rely on automated reports without checking the underlying data. You should demand a detailed explanation of how they reconcile a complex rent roll to the bank statement. If they cannot explain how they identify a missing payment from a specific unit against the property management system, they are not ready for this portfolio. Ask for a concrete example of when they found an discrepancy in a security deposit disposition that would have resulted in an incorrect refund or charge to a tenant. A candidate who simply states they run reports is a red flag. You want to hear about the errors they caught while manually scrubbing the data. Ask them how they manage the timing difference between cash posting in the bank and the recognition of revenue in the system. If they are accustomed to a role where they only import data, they will struggle here. You need someone who proactively hunts for errors in lease charges and utility bill backs. Ask them to explain the difference between a cash-basis rent roll and an accrual-basis report and why that distinction matters when you are preparing the final owner financial statement. If they struggle with that, they will misstate your operating income. Always push for the specific logic they apply when an automated system gives them a warning on a ledger item. You need to see if they pause to investigate the source document or if they just override the software to make the error disappear.
02
What do we check before you see anyone?
We verify they have direct experience in Yardi or MRI software modules specifically for multifamily residential. We confirm they have completed full-cycle accounting for more than one property simultaneously.
We validate their understanding of cash vs. accrual accounting as applied to residential rent cycles. We check their experience with security deposit accounting and regulatory compliance. We audit their ability to prepare monthly financial statement packages for ownership groups. We confirm they know how to handle move-in and move-out accounting entries without supervision.
03
Where do we find them?
We target accountants working for property management firms, owners of large residential portfolios, or third-party accounting service providers. Candidates move when their current portfolio size is stagnant and they want more complex assets, or when the software environment they use is manual and they want to move into a firm with more automated Yardi or MRI implementations. We also look for those moving from residential to commercial settings who want to stabilize their schedule.
04
Which hiring mistakes should you watch for?
- 01Hiring general accountants who lack specific exposure to multifamily lease structures and CAM recovery logic.
- 02Overlooking the difference between high-volume site-level bookkeeping and the complex property accounting required for institutional ownership.
- 03Ignoring whether the candidate is comfortable with the specific property management software version you utilize.
05
The search in three steps
- 01Identify and screen candidates specifically from multifamily or residential real estate accounting backgrounds.
- 02Verify technical proficiency in Yardi or MRI, focusing on their ability to generate accurate rent rolls and owner reports.
- 03Present candidates who meet the functional criteria for your immediate interview review.

How your Property Accountant search runs
How does The Six-Step Search work?
One sequence, from a well-defined seat to a shortlist you can judge.
Search Calibration
We start with a call about the seat, the books, the owners and the people the hire will work with. We learn what the role must fix in the first year and what would make a candidate wrong even if the resume looks right.
You get: A written search brief: scope, must-haves, deal-breakers and the pay range, agreed with you.
Market Mapping
We map the companies and institutions where the right people already work: similar size, similar ownership, similar complexity, in your market and in others.
You get: The target list of companies and institutions we will search, reviewed with you before outreach.
Professional Contact Intelligence
We find direct ways to reach the people on the map. Most are employed and not reading job boards, so reaching them takes real research.
You get: Direct routes to people who are not on job boards, researched for your search.
Persistent Personalized Outreach
We call and write to people individually and follow up. Interest varies, so we discuss the actual opportunity rather than promising a particular response.
You get: One-to-one conversations about your actual role, followed up, never a mass email blast.
Live Candidate Qualification
We speak with every candidate before you do. We check scope, systems, reporting lines, compensation expectations, location and why they would move.
You get: Only candidates we have spoken with, checked on scope, systems, pay, location and motive.
Candidate Intelligence and Process Support
You receive a short written brief on each finalist covering what they have done, where they are thin and what they want. Then we help with interviews, references and the offer.

Questions people ask
Must I pay a fee before I hire an accountant who reconciles rent rolls?
No upfront fee. You pay only if you hire.
Is this a temp or permanent hire?
We handle permanent placements. For alternative hiring needs like seasonal help or temp-to-perm transitions, we define the scope in the agreement.
How do you distinguish between property and development accountants?
Property accountants manage rent rolls, CAM, and lease charges. Development accountants focus on construction draws, capitalized interest, and joint venture waterfalls.
What software skills are necessary for this role?
We look for deep proficiency in multifamily platforms like Yardi or MRI. General ledger experience alone is insufficient for these specific reporting needs.
How soon will I see a Property Accountant shortlist?
It depends on the seat, the location and the pay. We give you an honest read after the calibration call and we do not promise dates we cannot control.
What about counteroffers on a Property Accountant hire?
We ask every Property Accountant candidate early why they would move and what their employer might do to keep them. Counteroffer risk goes in the written brief before you make an offer.
What is your guarantee?
We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.
What don't you do?
We do not post your Property Accountant job and forward whoever applies. We do not send stacks of unscreened resumes, and we do not recruit outside accounting, finance, banking and insurance.
