01
What does this hire really come down to?
Can you resolve billing friction to accelerate cash inflows? You need someone who does not just process invoices but identifies why payments are delayed or disputed. Can you own the lifecycle from initial invoice generation to final reconciliation?
Expect this person to manage AIA progress billing or complex ERP modules independently. They will handle the nuances of retainage, schedule of values, and chargebacks. They must clean up aging reports that have sat stagnant for months and handle direct customer negotiations.
We ask candidates: How do you reconcile a discrepancy between a purchase order and an invoice? What specific steps do you take when a client refuses to pay due to a technical dispute? Tell me about a time you identified a flaw in the billing workflow that caused consistent errors.
responsibilities conversations must target technical friction. Ask how they reconcile unapplied cash. Do not accept answers about general organization. Require a description of their technical procedure for clearing a suspense account during month-end close. Ask for their process flow for identifying a short-paid invoice against a purchase order. If they describe manual spreadsheet reconciliations for high-volume accounts, they may lack the system skill for a complex ERP environment. Request they explain the exact mechanics of how they handle a credit memo request for a disputed item. If they cannot describe the internal approval chain and the general ledger impact of that memo, they lack sufficient depth. When assessing experience with AIA or complex progress billing, ask how they track retainage release against a schedule of values. If they cannot describe how retainage entries affect cash flow, their experience is superficial. Test their ability to handle disputes by asking them to define the criteria used to escalate an issue to management versus resolving it independently. A strong candidate provides a clear threshold based on client history or contract terms. Verify their procedure for reconciling sub-ledgers to the general ledger daily. If they only perform this at month-end, they will struggle with accuracy in a high-volume environment. Ask them to describe a specific time they caught a recurring billing error and how they changed the workflow to prevent it from repeating. Their answer must show an understanding of both the data entry and the control environment. If they talk about fixing errors without describing the change to the billing system or the communication protocol, they are not suited.
- 01Confirm they have hands-on experience with specific ERP AR modules or billing systems.
- 02Verify they understand the specific mechanics of your billing cycle such as AIA G702 or standard B2B collections.
- 03Review their track record of managing customer disputes directly rather than escalating every issue.
- 04Verify work history in cash application to confirm sub-ledger and general ledger synchronization.
- 05Validate their comfort with credit memo procedures and internal approval workflows.
- 06Assess their ability to explain complex billing adjustments to non-finance stakeholders.
02
Where do we find them?
We source from candidates in middle-market firms managing high-volume B2B accounts. We also target those working in construction firms or service industries requiring complex AIA billing expertise. Others come from firms where credit control and manual reconciliation are constant daily tasks.
Candidates change roles for specific reasons. They may be stuck in a manual environment and want to move to an automated ERP system. They may want to shift from general accounts receivable into specialized trade credit analysis or complex construction billing. Sometimes they simply want a firm that prioritizes cash application accuracy over volume.
- 01Poor communication with clients during the collections process.
- 02Lack of attention to detail regarding specific contract terms and billing rates.
- 03Inability to handle technical dispute tracking within an ERP.
03
What should we discuss first?
We only charge a fee if you hire a person we introduce, with terms defined in writing before the start of the search.
- 01Define the exact ERP or billing software requirements for your specific accounting environment.
- 02Source candidates from similar industry backgrounds with relevant experience in cash application or collections.
- 03Complete structured interviews focused on their technical approach to resolving billing discrepancies and aging issues.
